A Better Close

Record → Reconcile → Review → Report

The goal is not simply to finish the checklist. It is to know why the numbers changed and whether the financial statements are ready to use.

Target

Clean Close

Every Month

A month-end close should answer a simple question: “Can management trust these numbers?”

For businesses using Odoo, that answer depends on more than running a Profit & Loss report. Bank accounts need to be reconciled, customer and vendor balances need review, inventory-related accounting may need attention, and unusual balance sheet accounts should have an explanation.

The following workflow is designed as a practical starting point for US businesses using Odoo Accounting. Adapt the exact steps to your accounting policies, transaction volume, tax requirements and Odoo configuration.

01 - Before Close

Do These Things Before the Last Day

01

Make sure routine sales, bills, expenses and payments for the period have been recorded.

02

Resolve obvious duplicate or missing transactions while the supporting information is still easy to find.

03

Review pending customer and vendor items that could materially affect the month.

04

Collect missing documentation and approvals before the close becomes urgent.

02 — Cash Control

1. Reconcile Every Bank & Credit-Card Account

Cash is one of the strongest starting points because bank and credit-card statements give you an external reference. The objective is to explain the statement—not merely make the Odoo balance equal a number.

Compare dates

Use the same statement period and correct account.

Find missing items

Look for fees, transfers, deposits and withdrawals.

Find duplicates

Check for imported and manually entered transactions.

Review reconciliation

Understand unresolved and outstanding items.

A/R
Step 2

Review Accounts Receivable

Your A/R balance should represent real amounts owed by customers. Use the aging report to identify items that need attention.

  • ✓ Review older invoices
  • ✓ Investigate customer credits
  • ✓ Match customer payments
  • ✓ Identify unusual aging balances
  • ✓ Separate known disputes from unexplained balances
A/P
Step 3

Review Accounts Payable

A/P should tell you what the business actually owes vendors. Old balances deserve investigation rather than automatic write-offs.

  • ✓ Review old vendor bills
  • ✓ Investigate vendor credits
  • ✓ Match payments to bills
  • ✓ Look for duplicate bills
  • ✓ Investigate unusual payable balances

Important Control

Do Not Let Outstanding Payments Become a Permanent Black Box

If payment or receipt balances remain outstanding month after month, determine what created them, what they should clear against, and why they have not cleared. This is especially important when cleaning up an older Odoo database.

04 — Inventory

If You Carry Inventory, Add This to the Close

Product businesses should not treat inventory accounting as an afterthought. Review operational activity and the resulting accounting balances together so unusual inventory or COGS movements can be investigated before reports are finalized.

01

Receipts

Review significant inventory receipts and related accounting.

02

Deliveries

Check significant stock movements and unusual activity.

03

COGS

Investigate unexpected cost movements and margins.

04

Valuation

Review inventory balances against available business records.

05 — Journal Review

Review the Entries That Can Distort the Whole Picture

Do not review every journal entry manually if the volume is high. Focus on unusual, material or unexpected entries and understand their purpose before the period is finalized.

Ask four questions

1

Why was the entry created?

2

Which accounts did it affect?

3

Is there support for the entry?

4

Does the result make economic sense?

06 — Balance Sheet

Don't Close the Month Without Reviewing the Balance Sheet

Account Area What to Ask Red Flag
CashDoes it reconcile to statements?Unexplained difference
A/RAre balances supported by customers?Very old unexplained balances
A/PAre vendor balances current and supported?Old or duplicate balances
InventoryDoes activity explain the balance?Unexpected valuation/COGS movement
Other accountsCan material balances be explained?Unusual unexplained activity

07 — Financial Reporting

Now Read the P&L Like a Business Owner

Once the underlying accounts have been reviewed, look at the financial statements from a management perspective. Accounting close is not complete just because the transactions are posted.

REVENUE

Does sales activity make sense?

Compare the month with expectations, prior periods and known business events.

MARGIN

Do gross margins make sense?

Investigate unusual COGS or gross-margin changes where applicable.

EXPENSES

Anything unusual?

Look for missing recurring expenses, unexpected spikes and classification issues.

08 — Final Checklist

Your Odoo Month-End Close Checklist

Use this as a starting checklist. Add company-specific controls for payroll, taxes, inventory, debt, prepaid expenses, accruals and other material accounts as applicable.

09 — Make It Repeatable

The Best Month-End Close Is the One That Gets Easier

If every close feels like a rescue project, the problem may not be Odoo itself. The business may need clearer ownership, consistent transaction entry, weekly reconciliation, documented procedures and a fixed close calendar.

10 — FAQ

Odoo Month-End Close FAQs

What is an Odoo month-end close?

An Odoo month-end close is a recurring accounting process used to complete transaction recording, reconcile accounts, review receivables and payables, investigate unusual balances, and validate financial reports for a completed accounting period.

What should I reconcile before closing the month in Odoo?

Common areas include bank accounts, credit cards, customer receivables, vendor payables, outstanding payments and receipts, and other material balance sheet accounts. Your exact checklist should reflect your business and Odoo configuration.

Why is my Odoo month-end close taking too long?

A slow close can result from unreconciled transactions, inconsistent bookkeeping, old A/R or A/P balances, unclear responsibilities, inventory issues, manual processes, or problems discovered only at month-end.

Can Accountrise handle Odoo month-end bookkeeping?

Yes. Accountrise provides remote Odoo accounting support including bank reconciliation, bookkeeping cleanup, A/R and A/P review, inventory accounting support, month-end close and financial reporting.
